1. Acceptance of Terms

These Terms and Conditions (“Terms”) constitute a legally binding agreement between you (“User”, “you”) and DocMyHVAC (“we”, “us”, “our”). By accessing or using the DocMyHVAC mobile application and any associated services (collectively, the “Service”), you confirm that you are at least 18 years of age, a licensed or professionally operating HVAC technician or business owner, and that you agree to these Terms in full.

2. Description of Service

DocMyHVAC is a professional documentation tool for HVAC field technicians. The Service enables users to:

• Capture HVAC equipment rating plate data via OCR scanning.
• Photograph and geostamp proof evidence for warranty claims.
• Document diagnosis, replaced parts, EPA Section 608 compliance logs, and electrical readings.
• Collect digital customer and technician signatures.
• Generate professional warranty claim PDF documents.
• Optionally store claim PDFs in encrypted cloud storage.
• Share and submit PDFs to manufacturers, distributors, or insurance companies.

DocMyHVAC is a documentation tool only. We do not process warranty claims, make acceptance or rejection decisions, communicate with manufacturers or distributors on your behalf, or guarantee that any claim submitted using our documentation will be accepted by any third party.

3. Subscription, Billing, and Free Trial

4. Account and Data Deletion

You may delete your account and all associated data at any time from within the app (Settings → Delete Account). Upon account deletion:

• Your cloud-stored claim PDFs will be permanently deleted within 30 days.
• Your technician profile data will be permanently removed.
• End-to-end encrypted data will be irrecoverably deleted (we cannot restore it).
• Your active subscription will not be automatically cancelled — you must cancel separately through Google Play to stop future billing.

5. Acceptable Use

You agree to use DocMyHVAC only for lawful purposes and in accordance with these Terms. You must not:

• Use the Service to generate fraudulent, falsified, or misleading warranty claim documents.
• Submit manipulated, edited, or fabricated photos as evidence in claim documents.
• Enter false equipment serial numbers, model numbers, or diagnosis information into the app.
• Use the Service in any way that violates applicable federal, state, or local laws, including EPA Section 608 regulations governing refrigerant handling.
• Attempt to reverse-engineer, decompile, or circumvent any security feature of the app.
• Share your account credentials with other individuals or companies.
• Use the app for any purpose other than HVAC field documentation and warranty claim preparation.

We reserve the right to suspend or terminate accounts found to be in violation of this Acceptable Use Policy without prior notice.

6. Disclaimer of Warranties

DocMyHVAC is provided “as is” and “as available” without warranties of any kind, express or implied. We expressly disclaim all warranties including but not limited to:

• Warranties of merchantability, fitness for a particular purpose, and non-infringement.
• Any warranty that the Service will be uninterrupted, error-free, or free of viruses or harmful components.
• Any warranty regarding the accuracy of OCR-extracted model or serial numbers. You are responsible for verifying all OCR-extracted data before submitting claim documents.
• Any warranty that claim documents generated using the Service will be accepted by any manufacturer, distributor, or insurance company. Claim acceptance decisions are made solely by the receiving third party.

7. Limitation of Liability

To the maximum extent permitted by applicable law, DocMyHVAC and its developer shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to: loss of revenue, loss of profits, loss of data, or loss of business opportunity arising out of or in connection with your use of the Service, even if we have been advised of the possibility of such damages.

Our total liability to you for any claim arising under these Terms shall not exceed the total subscription fees paid by you in the 12 months preceding the claim.

8. Intellectual Property

The DocMyHVAC application, including its design, code, branding, and documentation, is the exclusive intellectual property of its developer. You are granted a limited, non-exclusive, non-transferable, revocable licence to use the app for its intended purpose during your active subscription period. You may not copy, reproduce, distribute, or create derivative works from any part of the Service.

Claim documents you generate using the Service are your own. We make no claim of ownership over PDF documents generated by your use of the app.

9. Third-Party Services

DocMyHVAC integrates with the following third-party services:

• Google Gemini API — used for OCR nameplate scanning. Governed by Google's Terms of Service.
• Supabase — used for optional cloud storage. Governed by Supabase's Terms of Service.
• Google Play Billing — used for subscription management. Governed by Google Play's Terms of Service.

We are not responsible for the practices, availability, or content of third-party services.

10. Termination

We reserve the right to suspend or terminate your access to the Service at any time and without notice if we reasonably believe you have violated these Terms, engaged in fraudulent use of the app, or pose a risk to other users or the integrity of the Service. Upon termination, your right to use the Service ceases immediately.

11. Governing Law

These Terms are governed by and construed in accordance with the laws of the United States, without regard to conflict of law principles. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of competent jurisdiction in the United States.

12. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated via in-app notification at least 7 days before taking effect. Continued use of the Service after the effective date of updated Terms constitutes your acceptance of the changes.
