How to Use DocMyHVAC
Complete guide for HVAC field technicians | Version 1.0 | September 2026
DocMyHVAC turns a 3–5 hour warranty documentation process into under 90 seconds on-site. This guide walks you through every step — from first-time setup to submitting your finished claim PDF to a manufacturer or distributor.
Getting Started — One-Time Setup
Before creating your first claim, set up your technician profile. This information auto-fills into every claim you generate.
Open Settings
Tap the Settings icon in the bottom navigation bar.
Enter Your Technician Profile
Fill in your full name, company name, EPA/license number (e.g. EPA 608 Certificate), and contact phone number. Upload your company logo if you have one — it appears in the PDF header.
Save Your Profile
Tap Save. Your profile is stored locally on your device and auto-fills every future claim. You only need to do this once.
Creating a Warranty Claim — Step by Step
From the Home screen, tap + New Warranty Claim to begin. The claim wizard guides you through 8 steps.
Customer Details
Enter the customer's full name. Phone number and email are optional but recommended for audit trails. Toggle Original Homeowner / Purchaser — this affects 10-year warranty eligibility for most manufacturers. Enter the service address or tap Fetch via GPS to auto-fill from your current location.
Job & Equipment Details
Set the Service Date (when you inspected) and Failure Date (when the unit broke down — this may differ). Select the Equipment Manufacturer (Trane, Carrier, Lennox, Rheem, Goodman, York, Daikin, Amana, or Other). Enter the Parts Warranty and Labor Warranty periods. Enter the Distributor / Supply House name where you purchased the replacement part (e.g. Ferguson, Johnstone Supply, Baker).
OCR Nameplate Scan
Tap Open Camera & OCR Scan. Point your camera at the metal rating plate on the equipment. Hold steady for 1–2 seconds. The app automatically extracts the Model Number and Serial Number using AI-powered OCR. Review the extracted values and correct any errors manually. Tap Continue when the numbers look right.
Diagnosis & Parts
Select the Primary Failure Reason (Wear & Tear, Power Surge, Manufacturing Defect, Electrical Short, Age-Related, or Thermostat/Sensor Malfunction). Add your Technician Diagnosis Notes — be specific, as vague notes are a common reason claims get rejected. Enter the Parts Purchase Invoice / PO # from your distributor receipt. Optionally add the Defective Part Code. Under Replaced Parts & Labor, tap + Add Part and enter the part name/OEM number and labor hours. If you replaced a compressor, toggle Is Compressor Replacement? to add the defective and replacement compressor serial numbers — required by most manufacturers for compressor claims.
EPA & Electrical (Optional)
If refrigerant work was performed, toggle Refrigerant Work Performed and enter the refrigerant type (R-410A, R-22, R-454B, etc.) and amounts added and recovered in lbs. This creates your EPA Section 608 compliance log entry. If you took electrical readings, enter Operating Voltage (V) and Running Amperage (A) under Diagnostic Multimeter Readings.
Photo Evidence — 3 Required Photos
Capture three photos using the in-app live camera only (gallery upload is disabled to prevent tampering):
- [1] Metal Rating Plate & Serial Tag — Clear photo of the equipment nameplate showing model and serial numbers.
- [2] Defective Component Proof — Photo of the failed/defective part while still installed in the unit.
- [3] Replacement Part & Testing Verification — Photo of the new OEM replacement part installed and/or its packaging/tag.
Each photo is automatically geostamped with GPS coordinates, date, time, and the equipment serial number at the moment of capture.
Authorization & Signatures
Review the claim summary displayed on screen. Ask the customer to sign the Customer Authorization Signature pad using their finger. Sign the Technician Verification Signature pad yourself. Both signatures are date-stamped automatically.
Generate & Share Your PDF
Tap Save Claim & Generate Final PDF. Your 2-page warranty claim PDF is generated instantly. Tap Share PDF to send it via email, messaging app, or upload directly to a manufacturer or distributor's warranty portal as a supporting document attachment.

Submitting Your Claim to a Manufacturer or Distributor
DocMyHVAC generates your supporting documentation. The actual claim submission happens through the manufacturer's or distributor's own portal:
- Log into the manufacturer's dealer/warranty portal (e.g. Trane ComfortSite, Carrier's warranty portal, Ferguson's online form).
- Complete the required fields in their claim form (your account number, claim type, equipment details).
- When prompted to upload supporting documentation, attach your DocMyHVAC-generated PDF.
- Submit the claim through their system.
QR Code Verification
Every PDF contains a unique QR code in the bottom-right corner of Page 2. When a manufacturer, distributor, or auditor scans this QR code, it opens a secure verification page confirming:
- The document is genuine and was generated by DocMyHVAC.
- The claim ID, technician name, company, and date on record.
- That the document has not been tampered with since generation.
This gives receiving parties confidence in the integrity of your submission.
Managing Your Claims
All generated claims appear in the Status tab. From there you can:
- View full claim details by tapping any claim.
- Export or share the PDF again at any time.
- Mark a claim as Completed once the manufacturer has processed it.
- Edit a claim and regenerate the PDF if corrections are needed.
Cloud Backup (Optional)
Enable Cloud Backup in Settings to automatically upload your generated PDFs to secure encrypted cloud storage. This protects your claims against device loss or damage and allows you to access your claim history from a new device. Cloud backup is end-to-end encrypted — we cannot access your stored files.
Frequently Asked Questions
Will this PDF guarantee my claim is accepted?
No. DocMyHVAC generates professional, complete documentation that meets the typical evidence requirements of major HVAC manufacturers and distributors. Whether a specific claim is approved depends on the manufacturer's own review process, warranty coverage terms, and the nature of the failure. Our PDF significantly reduces the risk of rejection due to missing or incomplete documentation.
What if the OCR scan reads the wrong number?
Always review OCR-extracted values on screen before proceeding. Both the Model Number and Serial Number fields are fully editable — tap the field and correct it manually. The nameplate photo you captured is also included in the PDF for visual reference by the manufacturer.
Can I use photos from my camera roll instead of taking new ones?
No. DocMyHVAC requires all photos to be captured via the live in-app camera. This is an intentional anti-fraud measure — it ensures GPS coordinates, timestamps, and serial number data embedded in photo captions are accurate and verifiable. Gallery uploads are not permitted.
What if I don't have internet on-site?
Most core app functions work without internet. However, the OCR nameplate scanning feature (powered by Google Gemini) requires an active internet connection. If you have no signal, you can type the model and serial numbers manually and continue creating the claim offline. The PDF is generated locally on your device.
How do I cancel my subscription?
Open the Google Play Store app → tap your profile icon → Payments & subscriptions → Subscriptions → DocMyHVAC → Cancel subscription. You retain full access until the end of your current paid period.
